This policy explains what personal data Guardlane collects, why, and what control you have over it. It covers the Guardlane website, web portal and mobile app. Guardlane is operated by Guardlane (operating company to be confirmed), which is the data controller for the personal data described here. We intend to comply with the UK General Data Protection Regulation and the Data Protection Act 2018.
What we collect
Account information
Your name, email address, password (stored only as a secure hash), and whether you're an officer or a provider.
Profile and eligibility information
For officers: qualifications, licence details and references you submit for verification, availability, and experience. For providers: company details and the sites you manage.
Shift and duty records
Shifts published, booked, worked and cancelled; check-in and check-out times; welfare check responses; patrol checkpoint confirmations; completed duty tasks; and handover information. These events are kept in an append-only record so that what happened on a shift can be relied on later.
Location data
Location is collected only during an active duty session, when you check in, send a welfare check, confirm a patrol checkpoint or check out. It's used to confirm attendance at the site. We don't collect location when you're off duty. Location history is deleted after a retention period, currently 90 days by default.
Ratings and safety reports
Ratings you give and receive, and private safety or conduct reports. Safety reports are restricted to the people who need to handle them and are never displayed as public ratings.
Payment information
Payment amounts, statuses and timelines. Card and bank details are handled by our payment processor and are not stored in Guardlane's own systems.
Technical information
A session cookie that keeps you signed in, and basic information needed to run the service securely, such as request logs.
Why we use it

Who we share it with
- The other side of a shift. Providers see the details of officers who book their shifts, and the shift record. Officers see the shift and site details they need to work it.
- Service providers who help us run Guardlane, such as hosting, email delivery and payment processing, under contracts that protect your data.
- Authorities where the law requires it, or where it's necessary to protect someone's safety.
We don't sell personal data.
How long we keep it
Location history is deleted after its retention period. Account information is kept while your account is open. Shift, payment and safety records may be kept for longer where we need them to resolve disputes, meet legal or accounting obligations, or protect people's safety.
Your rights
You can ask to access, correct, delete or restrict the use of your personal data, object to certain uses, and ask for a copy in a portable format. Email info@visuosofts.com. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Some rights are limited where we have to keep data, for example completed shift and payment records.
Security
Passwords are hashed, sessions use secure cookies, access to records is limited by role, and payment data is handled by our processor. No system is perfectly secure, and we'll tell you and the ICO where the law requires if a breach affects your data.
Changes
We'll update this page when the policy changes, and let account holders know about significant changes.
